Property management
Property management software: what to buy, and what to build
Property management runs on platforms like PropertyMe, Reapit PM (formerly Console Cloud), MRI PropertyTree and Ailo, and they're good at the core: trust accounting, rent, leases, inspections. The pain sits in the work between tenants, owners and trades: maintenance back-and-forth, owner approvals, and a portfolio view the platform doesn't give you. That's the part worth tailoring.
Rather just ask someone? Talk to usIn short
Keep trust accounting, rent and leases in a proven platform such as PropertyMe, Reapit PM, MRI PropertyTree or Ailo. Build only where it stops: maintenance triage between tenants, trades and owners, owner approvals by text, and portfolio reporting. Connect custom tools through the platform's API so records stay in one place and trust accounting is never duplicated.
General information about systems and processes, current as at November 2026. It isn't legal or compliance advice: check how the rules apply to your business with your regulator, professional body or adviser.
- What is maintenance triage?
- Sorting incoming repair requests by urgency and type, sending the right trade, getting the owner's approval when a cost is involved, and confirming with the tenant that it's fixed. Urgent repairs have legal timeframes in every state, so triage that works at 9pm on a Saturday matters.
What actually works
Never rebuild trust accounting
Trust accounting is heavily regulated and the platforms have it audited. Any custom tool should read from and write to the platform, never hold money or a second ledger.
Maintenance is the best place to start
It's high-volume, time-sensitive and spans three parties. A request flow that asks the right questions, attaches photos, identifies urgent repairs, routes to the preferred trade and gets owner approval by text can save hours a week per manager.
Owners want answers without calling
Statements, upcoming lease renewals, maintenance spend and arrears, in one place they can check on a phone. Most platforms have an owner app; where yours falls short, a simple portal reading from the platform's API fills the gap.
Rental law keeps changing the workflow
Victoria's prescribed rental application form, renter-data destruction rules and fee bans, and NSW's free way to pay rent and photo-consent rules all landed in 2025–26. Check how your platform and any rent-tech tools handle them before adding more.
A portfolio view helps the principal most
Arrears, vacancies, lease expiries, maintenance open by age and manager workload across the whole rent roll, updated daily. It's often a small build on top of the platform's data with a large effect on how the department is run.
Buy, configure or build
For the common jobs in a property management department.
| Criteria | Keep in the platform | Tailor or build |
|---|---|---|
| Trust accounting and rent | Always | Never |
| Leases and inspections | Usually | Only for unusual portfolios |
| Maintenance requests | If the built-in flow suits | When triage, trades and approvals are a daily headache |
| Owner communication | The platform's owner app | A portal or reports where the app falls short |
| Portfolio reporting | Built-in reports | A live dashboard across the rent roll |
Where we'd tell you otherwise
If your platform's maintenance and owner features cover what you need, use them; a second system has a real cost in training and support. Custom work pays off for larger rent rolls, unusual portfolios such as build-to-rent or student housing, or a department whose growth is held back by phone and email.
Tell us how your files move
Describe the software you run and where work gets typed twice, chased by phone or held up waiting on a client. We'll tell you what we'd do first, including when the answer is a setting in software you already pay for.
Common questions
Where the platform provides API access for the data involved, yes. We connect to PropertyMe, Reapit PM, MRI and others through their published integration options, and agree with you up front what's possible for your account.
Not the core. Trust accounting, rent and leases belong in a proven platform. Building makes sense for what sits around it, such as maintenance triage, owner portals and reporting, connected to the platform rather than replacing it.
AUSTRAC's guidance says residential tenancies and property management are not designated services. If your agency also sells property, the sales work is covered.
It can take the call, gather details and photos, recognise urgent repairs and alert the on-call person or trade, with a human making the decisions that cost money. Our AI guide for property businesses covers where it works and where it doesn't.
